Position Summary
Chippewa Manor is seeking a self-directed, friendly, and highly organized Staffing & Payroll Operations Coordinator. This role is ideal for a multi-tasker with strong communication and technical skills who thrives in a fast-paced environment and enjoys supporting both staff and leadership teams. The Staffing & Payroll Operations Coordinator is responsible for maintaining efficient staffing and payroll processes across our nursing and CNA teams, ensuring compliance with policies and labor regulations, and providing excellent administrative support to our nursing and leadership teams. This position has the potential to grow into additional HR and executive management responsibilities over time.
Key Responsibilities
- Staffing & Scheduling
- Develop, publish, and maintain nursing and CNA schedules to ensure adequate coverage
- Cultivate relationships with nursing staff
- Serve as OnShift system superuser, managing staff schedules, filling open shifts
- Coordinate and monitor the use of external agency staff
- Post daily Nursing Hours Reports
- Support department managers with schedule adjustments and conflict resolution
- Payroll & Reporting
- Accurately process and submit bi-weekly payroll
- Manage PBJ (Payroll-Based Journal) data entry and timely submission
- Maintain and generate payroll-related spreadsheets, including budget tracking, bonuses, attendance, training pay, overtime, premium pay, charge nurse differentials, and company store deductions
- Set up new employees in the time clock and EMR systems
- Administrative Support
- Prepare and distribute internal communications, such as memos, forms, spreadsheets, and job postings
- Provide clerical support to the Administrator and assist with projects as needed
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, HR, or related field preferred
- Strong problem-solving skills and proactive approach to challenges
- Proven experience in staffing, accounting, payroll, or HR, preferably in a healthcare or senior living setting
- Proficiency with Microsoft Excel and strong data entry skills required
- Familiarity with OnShift or similar online staff scheduling systems highly desired
- Strong organizational skills, attention to detail, and ability to prioritize multiple tasks
- Excellent interpersonal and communication skills; ability to work collaboratively and independently
- Professional demeanor with a focus on providing exceptional service to staff, residents, and visitors
